Identify the product precisely
Provide the full designation and the required specification, not only a general description such as grey cement. Attach your purchasing specification or clearly describe the intended application when the grade is still being defined. Identify any acceptance document required by your technical team.
Do not substitute a typical producer analysis for your own purchasing requirement. State which parameters are mandatory and whether an alternative grade or origin may be considered. Technical approval and commercial negotiation can then proceed with fewer ambiguous assumptions.
Separate quantity, format and schedule
Write quantities in metric tonnes and identify whether they are firm, approximate or part of a forecast. For packaged cement, state 1.5 MT big bags and any particular bag requirements. Distinguish a first trial cargo from later indicative needs.
Give the requested loading period and, where relevant, the desired arrival period separately. Include the destination port or terminal and the receiving method. If you are requesting a freight-inclusive proposal, explain the operational information available from the receiver.
Define the offer you need
Specify the preferred delivery basis and its named port or place. Ask the offer to identify the product, origin, quantity, packaging, validity and any point still awaiting confirmation. Share the required document list early enough for the issuer and timing to be discussed.
A well-prepared enquiry does not oblige you to accept the first proposal. It gives you a consistent basis for comparing alternatives and asking focused follow-up questions. Keep revisions of the brief identifiable when requirements change.
